What AEO certification means

AEO, or Authorised Economic Operator, is a status that EU customs authorities grant to companies that meet strict criteria for:

• customs compliance,
• financial stability
• and, in some cases, security.

It is based on the EU’s Union Customs Code and builds on the SAFE Framework, which the World Customs Organization developed to support safer and faster international trade.

Applying for AEO status is voluntary; a company does not need it to trade internationally. It does, however, signal to customs authorities and business partners that the company complies with regulations, keeps its documentation in order and is financially stable. AEO status is recognised by customs authorities in all EU member states, not only in the country that issued it. For you, this means the assurance that your goods are handled by a vetted partner that customs authorities regard as low-risk.

Types of AEO certification and their benefits

There are three types of AEO authorisation, and the right one depends on what a company needs from its relationship with the customs authorities:

• AEOC (Customs Simplifications) – based on reliable customs records and financial stability. It is intended for companies that are mainly interested in faster and simpler customs procedures.
• AEOS (Security and Safety) – based on supply chain security. The company demonstrates that it has its operations, warehouses, employees and partners under control, which makes it low-risk in the eyes of the customs authorities.
• AEOF – combines AEOC and AEOS and gives access to the full range of benefits of both.

AEOC provides access to simplifications such as centralised clearance, self-assessment and, in some cases, reduced financial guarantees. For shipments, this reduces the time spent on customs formalities.

AEOS focuses on security. Because the company has demonstrated its security in advance, customs authorities regard its shipments as low-risk and carry out fewer physical and document-based security checks on them. If a shipment is selected for inspection after all, it is given priority.

In short: AEOC speeds up the paperwork, while AEOS reduces waiting times at security checks.

Who can apply for AEO and how the process works

Any company involved in the international supply chain can apply for the status, regardless of its size:

• manufacturers,
• importers,
• exporters,
• customs representatives,
• carriers
• and warehouse operators.

The process itself is thorough. Customs authorities review the company’s compliance history, financial situation and internal records and, in the case of AEOS or AEOF, its security measures as well. It is precisely this rigour that makes AEO a credible signal – it cannot be obtained quickly or easily.

When a company chooses a carrier, the decision often comes down to a single number: the price per shipment or per kilometre. That's understandable, but misleading. Price certainly plays a role, but the lowest quote can end up costing more once you factor in delays, claims, or costs that weren't in the original calculation. The following criteria sum up what to ask and what to look out for before you entrust someone with your goods.

1. Scope and specialisation of services

The first question is whether the carrier covers everything you need at all. Can they handle road, air, rail and multimodal transport, or will you have to combine several carriers and keep track of where one's responsibility ends and the other's begins? The more links in the chain, the more places where something can go wrong.

Specialisation in your destinations matters just as much. Transport to neighbouring Germany and transport to, say, Kazakhstan are two different worlds, with different legislation, different routes and different risks. OOn paper, almost every carrier offers a route abroad. The difference lies in whether they actually operate there regularly or only handle that country occasionally, and whether they have someone on the ground you can turn to, or rely on an unfamiliar partner at the other end of the phone. It pays to look for a partner who genuinely knows the region and, ideally, has a branch there.

One of the most important criteria for the scope of services is often hidden: does the carrier have its own fleet and technical infrastructure, or does it subcontract part of its orders to other carriers? Both approaches have their own logic.

• A carrier with its own fleet has full control over who is carrying your cargo and in what condition. If something becomes complicated along the way, it acts on its own behalf, not through several intermediaries. Capacity is limited here, though, so during peak periods the carrier may turn your order down.
• A broker can find an available vehicle almost any time, since it draws on a wider network of carriers, but that comes with greater risk. If a company doesn't thoroughly vet its subcontractors, your shipment could end up with a carrier your original partner has never even met, or, worse, with a fraudster posing as a carrier.

2. Experience with customs administration and the destination country's legislation

For exports outside the European Union, customs is where things are really put to the test. The carrier needs to know the specifics of the country in question:

• the documentation required,
• current sanctions regimes,
• the licences needed,
• how the customs procedure works.

A single missing field or an incorrectly issued document means a delay at best, and confiscation of the goods at worst. Underestimating this side of things doesn't pay off. So find out whether the carrier has its own team to handle customs clearance, and how it manages documentation for your specific destinations.

3. Communication and shipment tracking

A shipment in transit raises questions: where exactly is it, will it meet the deadline, what happens if there's an unexpected complication. Notice how quickly and clearly the carrier communicates even at the enquiry stage. If responses are slow before you've even signed a contract, they won't get any better afterwards.

You should also find out whether you'll have a single point of contact who knows your shipments, or whether you'll have to speak to someone different each time and explain the situation from scratch. Repeatedly explaining the background is impractical and slows things down. In the end, that can mean delays.

Make sure you'll be able to track your shipment. Clear information about its current status isn't a luxury but a standard that significantly reduces stress. When you know where your goods are, you can plan the next steps and pass on any changes in good time. A transparent carrier will give you this information without you having to chase it. So ask how you'll be kept informed about the status of your shipment, and whether you'll be able to see its location for shipments outside the EU too, where tracking tends to be more difficult.

4. Flexibility and an individual approach

Every company naturally has slightly different needs. Even so, you may come across a carrier for whom you're just another number in the system: a standard process, with no room for individual differences. Yet it's precisely the ability to adapt to a client's specifics, the size of the order and the nature of the goods that often determines whether a partnership works in the long run. Find out how willing the carrier is to build a solution tailored to your needs, rather than pushing you into a single template.

5. Insurance and liability for the shipment

Ask before the worst happens:

• What happens if the goods are damaged or lost?
• Does the carrier have insurance in place with clearly defined liability, or would you bear any resulting loss yourself?

Have the scope of cover and the conditions for making a claim explained to you before you sign the contract. Once a loss has occurred, it's too late to negotiate. Especially for higher-value shipments or sensitive goods, it's worth checking what value the shipment is covered up to, and what, conversely, is excluded from the insurance.

Standard CMR liability only covers a limited amount per kilogram of the shipment's weight, regardless of the actual value of the cargo. For higher-value goods, this can leave a noticeable gap between the compensation paid out and the actual loss. In such cases, we recommend one of the levels of all-risk insurance, since CMR liability alone might not cover the actual value of the shipment in the event of a loss.

6. References and certifications

General statements about reliability sound nice, but they don't prove anything. Concrete experience with a company of a similar size or from a similar industry will tell you far more. So don't be afraid to ask for references and case studies; a reputable carrier will be happy to provide them. If they avoid specific names and figures, that in itself is an answer. Go through the carrier's references and case studies and ask about projects similar to yours.

Certifications are another objective indicator of credibility, since they're based not on promises but on independent verification. Certifications aren't a legal requirement for carriers, so by no means every one holds them. If a company does, it's a signal that it has passed an audit and has controlled processes in place. ISO standards confirm established processes in the areas of quality, environmental protection and occupational health and safety.

Warning signs to watch for, and a checklist to tick off before choosing a carrier

Some things should raise a red flag well before you get to the contract stage:

• An unclear or incomplete scope of services.
• No references, or no willingness to provide them.
• Little or no experience with your specific route or destination.
• Slow and evasive communication even at the enquiry stage.
• An inability to adapt the service to your specific needs.

One such sign on its own may not mean much, but several together are good reason to keep looking. And before you make your final decision, go through this short checklist:

• Does the carrier cover all the types of transport I need, and specialise in my destinations?
• Does it operate its own fleet?
• Can it handle the destination country's customs administration?
• Will I have a reliable contact and fast communication?
• Will it adapt to the size and nature of my company?
• Can it provide references and certifications?
• Does it have insurance and the option to track shipments?

What a quality management audit checks

Under ISO 9001, auditors check how the company keeps its own processes under control, specifically how client satisfaction is monitored, how shipment tracking works from pickup to delivery, how documentation is kept for individual processes, and how complaints are handled. What an environmental audit looks at

The environmental impact of operations is covered by ISO 14001, specifically how the company manages it in day-to-day practice. Across the premises and inside the buildings, waste is sorted, with general waste kept separate from office paper and shredded paper, even though a fair amount of documents still has to be printed. In the warehouse, stretch film and other packaging materials are handled separately, operational fluids are disposed of in line with regulations, and hazardous waste follows its own dedicated procedure. Route optimisation is also part of the approach, so that vehicles run as efficiently as possible.

A new certificate for energy management

This year, EGT Express completed the ISO 50001 audit for the first time. The standard concerns the systematic management of energy consumption, not one-off measures but ongoing tracking of where the company uses energy and how it sets targets to reduce it. In our transport operations, diesel is the largest cost item, so any saving feeds directly into costs. The fleet is therefore being renewed with trucks meeting the strictest current Euro 6 emission standard, drivers are trained in eco-driving, and driving parameters are monitored in real time, allowing consumption to be assessed rather than estimated. Lighting is also gradually being switched to more efficient LEDs.

Need to transport a heavier load express, but not enough to fill a truck? We have a solution that makes economic sense, unlike a half-empty truck: BE-COMBI — a combination that combines the speed and flexibility of a van with the payload capacity of a small truck. In the Czech Republic, we were among the first to register these vehicles, and we are now gradually modernizing and rebuilding our fleet to the latest standards.

What is a BE-COMBI vehicle and how did it come about

At first glance, it may look like a classic three-axle truck. In reality, it's a well thought-out and highly efficient conversion. The base of the combination is a light commercial vehicle converted into a short tractor unit. On its fifth wheel, it carries a semi-trailer with its own braked axle. The third axle doesn't belong to the vehicle itself, but to the semi-trailer. The whole combination therefore has two registration plates and two vehicle registration certificates.

This system is compatible with all major commercial vehicle brands, but at EGT we most often build on Mercedes-Benz Sprinter chassis, which have long best met our high standards for reliability, payload capacity, and above all, availability of service support across Europe. Our fleet operates both curtain-sided and box-body variants.

Performance and capacity in numbers

Why and when you'll appreciate BE-COMBI most

A standard van up to 3.5 tonnes has the advantage of speed, but in reality it can barely carry one tonne of cargo — the rest of its permitted weight is taken up by the vehicle itself and its body. If you need to transport a heavier load, a standard van isn't enough. A classic truck, on the other hand, requires a driver with a C/CE licence and a professional competence certificate, and operations are logistically more complex with higher costs. BE-COMBI represents the ideal middle ground:

• High payload capacity: The combination's total weight is 7 tonnes, meaning it can carry up to three times as much as a standard van.
• Lower fuel consumption: A combination built on a van such as the Mercedes-Benz Sprinter has roughly half the fuel consumption of a classic large truck.
• Toll savings: The combination doesn't pay road tax. In the Czech Republic, a standard motorway vignette is enough; in Germany and the Netherlands, it isn't subject to tolls at all, because the towing vehicle itself doesn't exceed 3.5 tonnes.
• Excellent manoeuvrability: It can get where a regular truck can't. Ideal for urban distribution and efficient transport.
• Driver availability: Only a B+E driving licence is needed to drive this combination. We have our own trained crews ready for deployment, so we're not left waiting for a driver with a professional competence certificate to become available (of which there is currently a shortage).

This concept is the perfect solution where a standard van doesn't have the payload, but a full truck would be an unnecessary luxury. A great choice for international express and just-in-time transport throughout Europe and to eastern destinations.

No professional competence certificate needed, but the professional standard remains

A professional competence certificate isn't legally required for category B+E, but we leave nothing to chance — we thoroughly train our drivers specifically for this equipment, as well as in Regulation 561 driving and rest time rules and TAPA security standards. We have held Level 3 certification since 2021, and since 2023 we have also provided transport under the highest Level 1 regime for shipments with extreme security requirements. Telematics for continuous location and temperature monitoring is a standard feature. Our fleet also includes a top-of-the-line FRIGO version for refrigerated transport with all the advantages of the BE-COMBI concept.

Vehicles are also equipped with:

• an ADR package for transporting dangerous goods,
• a hydraulic tail lift for easy loading and unloading at locations without a ramp,
• a sleeping cab for maximum driver comfort on long-haul transports.

Our BE-COMBI combinations and their drivers can handle even the most demanding tasks on international routes.

The rear part can also be uncoupled and re-hitched to another tractor unit, which takes around 15 minutes. When the tractor unit needs servicing, the shipment can continue straight on its way. For transports under the strict TAPA regime, however, we do not uncouple the semi-trailer, and the shipment stays under TAPA supervision from loading to unloading.

Since the BE-COMBI combination exceeds 3.5 tonnes, the requirement for a tachograph, driver card, and compliance with driving and rest times applies, just as with large-scale freight transport. This may seem like a disadvantage, but the opposite is true: for you, it means a well-rested driver and greater safety for your shipment.

The Přerov exhibition grounds came alive over the weekend of 24 to 26 July for the 13th edition of the Van & Truck Show. The event welcomed over 100 trucks and vans, and EGT Express was there too, just as we are every year.

Friday evening belonged to the parade

Friday's programme opened with a parade through the town, joined by dozens of vehicles. Trucks and vans drove through the centre of Přerov, with locals waving and drivers responding with their horns. The evening then continued with live music at the exhibition grounds.

Saturday belonged to the trucks and the competitions

The main programme took place on Saturday. Visitors could walk among the trucks and vans on display, watch a fire brigade demonstration, and take part in the prize competitions on offer. The whole weekend also had a charitable side, with proceeds from the tombola and auction going to support children's homes.

Every year, cargo worth billions of euros disappears across Europe, and more than 80% of losses occur during road transport. In this article, we explain how thefts happen, what TAPA TSR certification involves, and how to identify a carrier that addresses security systematically — not just on paper.

When is cargo most vulnerable?

Cargo theft today is rarely the work of opportunistic criminals. Organised groups operate systematically: they monitor routes, identify high-value goods, and wait for the right moment. The most vulnerable points in any journey are stops — gas stations, car parks, and rest areas.

Pharmaceuticals, electronics, luxury goods, and industrial components are among the most common targets. These are goods that are small, valuable, and easy to resell. Incidents do not only occur during transit itself. There are documented cases of perpetrators posing as authorised recipients or tampering with a shipment before loading or immediately after.

What is TAPA TSR and what does it mean for your shipment?

TAPA (Transported Asset Protection Association) is an international organisation that defines security standards for the transport and storage of valuable goods. Its standards are used primarily by electronics manufacturers, the pharmaceutical industry, and high-tech producers — sectors that are most frequently affected by cargo theft.

The TSR (Trucking Security Requirements) standard sets out the specific requirements a carrier must meet in order to transport shipments under a certified security regime. The standard has three levels, with Level 1 being the most stringent. It includes real-time vehicle monitoring, a maximum position reporting interval of five minutes, electronic securing of the cargo area with an alarm triggered by unauthorised opening, certified driver training, and a defined security incident response procedure. TAPA Level 3 operates with less demanding technical specifications.

Certification at TAPA Level 1 and Level 2 is conducted by an independent body accredited by TAPA EMEA. Self-certification is only permitted at TAPA Level 3. For shippers, collaborating with a certified carrier has a direct impact on insurance terms. Insurers take certification into account when setting premiums, and choosing a TAPA-certified partner is often more cost-effective in the long run than an initial comparison of quotes might suggest.

EGT Express has held TAPA TSR Level 3 certification since 2021 for a selected part of its fleet and defined routes. Since 2023, we have also been providing transport under the TAPA TSR Level 1 regime for specific consignments with the highest security requirements.

How we approach secure transport?

Security starts with vehicle selection and route planning.

Every shipment has a different risk profile — depending on the value of the goods, the nature of the cargo, and the specific route. A vehicle suitable for standard goods may not meet the requirements for transporting electronics or pharmaceuticals. Routes for shipments under the TAPA regime are planned with regard to the availability of secure parking, and stops are made only at pre-approved locations. For transport under the TAPA Level 1 regime, the driver has a specific plan of permitted stops before departure and remains in constant contact with the dispatcher.

During transit, the vehicle is monitored continuously. Any deviation from the planned route is addressed immediately. If unauthorised access to the cargo area occurs outside the approved unloading location, an alarm is triggered.

Insurance as part of risk management

Standard carrier liability under CMR is limited to 8.33 SDR per kilogram of gross weight. For high-value goods, this often covers only a fraction of the actual loss. For example, fifty kilograms of electronics worth 50,000 EUR would only be covered for approximately 500 EUR.

EGT offers additional cargo insurance beyond CMR. The specific scope depends on the route, the type of goods, and their value.

The cheapest quote and the greatest risk often go hand in hand

TAPA TSR certification is not a guarantee that an incident will never occur. It is a documentable commitment by the carrier to a process that minimises the likelihood of an incident and maximises the chance of a swift and coordinated response if one does occur.

When the value of a shipment runs into the millions, the difference in transport cost is marginal. The difference in risk is an entirely different matter.

Phantom carriers are a growing threat

One of the most significant threats of recent months is the so-called phantom carrier. This is not a classic cargo theft — it is a sophisticated fraud in which you communicate throughout with someone who is merely posing as a carrier. The shipment is loaded, the truck drives away, and the entire cargo disappears.

There are several scenarios. Someone purchases an existing transport company with a history and references. In other cases, a fraudster offers transport under a name that differs from a legitimate company by just one character. One extra letter, a dot instead of a dash, an added number.

The number of such cases is growing. Specialised platforms record dozens of new fraudulent addresses every day.

The most effective defence is thorough verification.

When ordering transport of cosmetics, electronics, alcohol or other high-value goods from a carrier you don't know well, verify their identity by phone directly with the company. Email communication is not enough. In the volume of daily correspondence, it is easy to miss that a sender's address is not quite the same as the one you know.

Standard carrier liability under CMR is limited to approximately EUR 10 per kilogram of shipment — regardless of the actual value of the goods. Power that makes sense

At the heart of the Actros L is a 375.1 kW engine whose reliability has been proven across generations of drivers. The third-generation OM 471 engine is engineered with a clear focus on reducing total cost of ownership, and the redesigned cab with improved aerodynamics cuts fuel consumption further. In practice, this means low overall operating costs — a critical factor on routes of this kind.

The real-world numbers speak for themselves. On the most demanding routes — mountain passes, broken roads, motorways — the Actros L averages 28 litres per 100 kilometres. The previous vehicle on comparable routes consumed 34 litres. A saving of six litres per hundred kilometres adds up to tens of thousands of crowns over the course of a year.

Efficiency that spares the planet

With the third generation of the OM 471, Mercedes-Benz introduced two new turbochargers. On long-haul variants, these are optimised not only for the lowest possible fuel consumption, but also for minimal environmental impact. Combined with an enhanced exhaust aftertreatment system, they ensure effortless compliance with Euro 6D — the most stringent version of the Euro 6 emissions standard.

A cab built for life on the road

Long eastern routes place extraordinary demands on drivers. At EGT Express, we believe driver comfort is directly proportional to the safety of your cargo. That is why the Actros L impressed us with its XL cab — the largest in the Mercedes-Benz lineup — and it shows in every detail of the interior.

• The lower bunk measures 2,200 × 750 mm with a 110 mm mattress, offering conditions comparable to a hotel room.
• The upper bunk (2,000 × 700 mm) provides a full resting space for the second crew member.
• Drivers also appreciate the two separate fridges, offering ample storage for provisions on a long journey.

The designers of the Actros L cab placed particular emphasis on comfort and atmosphere alongside the practical realities of a driver's daily life on the road. Climate control, ergonomically designed controls, Apple CarPlay — the Actros L cab is built so that a driver who has spent nights in the vehicle arrives at the destination in the kind of condition that shows in the quality and safety of the entire shipment.

Maximum utilisation

At 16,499 mm in length, the combination makes full use of the maximum permitted transport dimensions while delivering the highest payload capacity in its class. Every centimetre and every tonne is put to work. By carrying a greater volume of cargo in a single run, we can reduce the number of journeys required — and with that, the total carbon footprint per consignment.

Mercedes-Benz operates the largest service network of any truck manufacturer, and on routes thousands of kilometres from our base, that is an argument that cannot be ignored. Servicing is more readily available, and in the event of a problem, your shipment is far less likely to face significant delays.

After nine months in service and more than 51,000 kilometres on the toughest routes, the Actros L confirms that it has more than earned its title as the flagship of long-haul transport. Every day, it reaffirms to us and our partners that we made the right call.
